Handover Defects: A Building Surveyor's View on Prevention

The defects I see most often at practical completion and the upstream decisions that would have prevented them.

Most handover defects are not built in the last week of the job. They are built in the first decisions made about sequencing, tolerances and inspection regimes. The defect register on the last day reflects choices made eighteen months earlier — choices about which trades follow which, what tolerance is acceptable at handover from one trade to the next, and how often work is inspected before it is covered up.

Water ingress around penetrations is the number one defect on residential projects in Auckland. The fix is upstream: a wet-area pre-cover inspection regime that holds the trade for 48 hours before any board goes up. The plumber, electrician and waterproofer sign off the penetration detail with photo evidence. Skip the inspection and the leak shows up at handover, often through a finished ceiling on the floor below.

Door alignment and ironmongery defects come from accepting frames that were never checked for square. A simple four-point measure at delivery eliminates 90% of these. The five minutes per door at delivery saves the painter, the joiner and the locksmith from a defect each later. Build the four-point measure into the delivery acceptance routine, not the snag list.

Paint defects are usually a substrate problem. A documented substrate sign-off by the painter before they apply the first coat shifts the conversation. If the painter accepts the substrate, the defect is theirs. If they reject it, the previous trade returns to remediate. This is a small contractual change with a large quality benefit.

Tiling defects are almost always set-out and tolerance. Agree the set-out point and the cut location with the architect before the first tile is laid; do not leave it to the tiler. Half a millimetre of accumulated tolerance over a long wall is the difference between a clean job and a defect register every cellphone photographs.

Run the practical completion inspection in zones, with the trade present, and record defects with a single mobile tool. The paper snag list belongs in a museum. A zoned inspection with the trade in the room means defects are categorised, owned and triaged on the spot. Closure rates run 3x higher than the equivalent paper-based snag process.

Owner-perceived defects deserve a category of their own. Many are not defects against the specification — they are gaps between the client's expectation and what the contract specified. Manage them with a sample-room approach in the first month: show finishes, edge details, mitre joins and tolerances physically, signed off, before they go on the floor. Most owner-perceived defects disappear when the expectation is set early.

Finally, the warranty period is part of handover, not separate from it. A defect liability process that captures, prioritises and remediates within 30 days for the first three months keeps the relationship and the reference. A backlog of unresolved warranty items is the surest way to lose the next project with the same client.
